MINUTES OF THE Ygnacio Valley HS Athletic Boosters, Inc
MEETING  OF  February 13, 2003
A CALIFORNIA NONPROFIT PUBLIC BENEFIT CORPORATION

A general meeting of the YVHS Athletic Boosters, Inc was held on February 13, 2003, at  7:10  P.M. at Concord, California for the purpose of a monthly meeting. The meeting was called  to order by Stan Wilson,Vice- President. Written notice of this meeting was sent via email and announced on the web site to all general members of record on the books of the corporation at such time and with such contents as required by the Bylaws of the corporation.
Attending the meeting were: Stan Wilson, Cathy McCaughey, Judy Cranmer, Cathy Wayne, Debbie Vaticano, Michael Dare, Ron Schwab, Kelly Krause, Pam Cadwallader.

Four out of seven board members were present, which constitutes a quorum of the full board.
The order of the agenda was amended so that Kelly Krause could present before having to leave the meeting.

OLD BUSINESS
Athletic Trainer Report
Kelly Krause presented a list of training room requirements with estimated costs.  Currently all she has available is a small ultrasound , ice, and hand massage.  Students/athletes who require other therapies have to be referred to physical therapy. Her top priority items include treatment and taping tables. The tables are different heights since treatment tables are low and taping tables are a taller height. 
Kelly also reported that she contacted the company that the current ice machine is leased from and her lease is for three years.  The only way the lease can be broken is if an ice machine is purchased from the company.  The lease can be bought out at $81 times the number of months remaining on the lease.  Kelly is requesting a list of prices of ice machines available from the company.  She reported that the price of the LMC ice machine was very good ($450 ) but the machines only produce 50 pounds of ice per day and the current ice machine produces 150 pounds. Normally she does not require 150 pounds but today she used all the ice she had. At times where several sports are ongoing (wrestling, soccer, basketball), the ice machine is more heavily used than others. The question was raised about funding for the ice machine rental.  Athletic Boosters donated three months payment, and February’s payment will come out of the sports medicine budget.  She is working with Mr. Grace to see if other teams besides football and basketball can contribute to the ice machine funding.
Kelly also presented a written report to Cathy Wayne that will be used to seek outside funding for the training room equipment.  Stan Wilson volunteered to take the list to John Muir/Mt Diablo to see if they can donate any of the items.

APPROVAL OF MINUTES
A copy of the January 8, 2003 minutes were distributed to all members present and reviewed. A motion was made, seconded, and passed to approve the minutes as submitted.

TREASURER’S REPORT
Cathy Wayne distributed copies of the Treasurer’s Report.  She reported for the treasurer that the new date heading on the treasurer’s report  will now be July 1st of each year which is a fiscal year start date. Currently we show a balance of $30,361.44 in the combined checking, savings, and petty cash.  Of that total $11,700 is for car raffle ticket sales and $11,490 is from Crab Feed ticket sales.

MEMBERSHIP REPORT

Debbie Vaticano reported that there are currently 139 members. 

SITE COUNCIL REPORT
There have been two site council meetings in the last month. Judy Cranmer reported that one meeting was principally about reviewing procedures and by-laws.  At the other meeting it was discussed that all high school campuses in the MDUSD will be closed this summer to have work done on Measure C funding items.  No sports or summer school will be taking place at any high school campuses.  Summer school will be at several Jr High Schools.  All the work will not be completed over the summer. One of the big projects for YVHS is that the parking lot will be redone.
Judi also announced that Mrs. Walker will be retiring after this year. When asked, the principal  didn’t know if parents will be part of the selection process for the next principal.

CAR AUCTION
Currently 300 tickets have been sold .Cathy Wayne has contacted the Brendan theaters and asked for volunteers to help her sell tickets there this Saturday and Sunday.  Our goal is to try to sell 500 tickets so that the car can be raffled off at the Crab Feed.  If less than 500 tickets are sold the winner will receive half the profit from the raffle tickets.  Tickets will be sold at the Crab Feed.  Ron Schwab volunteered to  help sell car raffle tickets at the Crab Feed.

CRAB FEED REPORT
Debbie Vaticano reported that so far we have sold 413 tickets.  We can sell a total of 450 tickets.  Blake’s has also volunteered to offer our menu to any walk in diners that night with the proceeds going to the Boosters.

NEWS FROM ACTIVE TEAMS
 Basketball:  Debbie Vaticano reported that basketball is in it’s final weeks.
Wrestling: Cathy Wayne and Stan Wilson attended a Wrestling tournament held at YVHS two weekends ago.  There were 10-12 teams present  with four matches going on simultaneously. It was the first tournament held at the shool and our team did well.
Soccer:  Soccer season is over.
Softball:  Tryouts are tomorrow and coaches are in place for both Varsity and JV teams.
Swimming:  Michael Dare came and gave a brief report on the swimming program.  A team meeting with parents was held last night.  Parents were encouraged to join the Boosters and sign up for e-scrip.  They will have 12-13 meets this year including meets at Clovis and Roseville.  The new JV coach is Kaelin Kaiser who is a teacher at the school.  Practices are at Pleasant Hill Middle School and this will also be the school’s home pool.  There will be possible four home meets and everyone was encouraged to come to a meet and support the team.  Michael reported that there are several good swimmers and that they have the foundation to build a strong program.  Funds were requested (see funding request).

Kelly Krause will bring a price list to the next meeting.
GYM FLOOR COVER

Mr Grace was not present so this was tabled..
SPIRIT WEAR
We still have a lot of spirit wear left, mainly gold sweatshirts and t-shirts.  Ron Schwab suggested we try to sell items at the Golf tournament in September.  It was suggested to set up a table at the incoming Freshman Open House night in March.  Other suggestions were to reduce the price of items and to raise the cost of joining Boosters and give a t-shirt for joining. This item was deferred to next month’s meeting for action.

NEW BUSINESS
ALUMNI REPORT
Ron Schwab introduced himself.  He is a YVHS alumni who also attended Northgate for two years.  Since graduating he has started a 501C charitable organization which raises scholarship funds. The group awards annual scholarships to Ygnacio Valley and Northgate students.  The funding for the scholarship comes from an annual golf tournament that will take place September 12th this year.  The goal is to have 144 golfers enter the tournament.  There is a silent and live auction at the tournament.  Ron also discussed ways that his group and the Boosters could work together for fundraising and sharing of data bases for events like the crab feed and golf tournament. The Boosters thanked him for attending the meeting and look forward to working with his organization .
FUNDING REQUESTS
Swimming requested funding for 32 stop watches, two awnings and two sets of flags.  They need these items since they now have a home pool and will be having home meets.  They reported that they presented a request to PTSA and received $300 funding to help buy a meet clock.  The criteria for funding was reviewed.  Currently there are 28 members from swimming/water polo who are booster members.  They plan to raise money with a bowlathon and by selling candy.  They are also planning to start a community service project each year that team members will participate in.  The motion was made by Cathy Wayne, seconded by Stan Wilson, voted on and passed to fund $700 to swimming for the above mentioned items.

Pam Cadwallader also requested that the Boosters investigate a bill due to Kevin Sherwood for $1,100 that was approved by the Boosters  for the swim team but was never paid.  Debbie Vaticano reported that she knows the item was discussed last year but there was a question about the lack of a receipt.  Minutes from last year’s meeting were not available .  It was decided to investigate the request and action was tabled till the next meeting.

There being no further business to come before the meeting, it was adjourned at 8:26pm.
