A general meeting of the YVHS Athletic Boosters, Inc was held on May 5, 2004 at 7:08 p.m. at Concord, California for the purpose of a monthly meeting. The meeting was called to order by President Stan Wilson. Written notice of this meeting was sent via email and announced on the web site to all general members of record on the books of the corporation at such time and with such contents as required by the Bylaws of the corporation.

Eight out of nine board members were present, which constitutes a quorum of the full board.

APPROVAL OF PAST MINUTES

The minutes of the April board meeting were passed out to all members. The motion was made, seconded and the vote approved the March minutes as submitted.

TREASURER’S REPORT

Linda Wiley passed out the Treasurer’s Report. Our current balance is $43,000. Linda transferred $10,000 from the checking to the savings account. Checks made out last month include: $700 Kelly Krause, $3000 to football, $600 to Jim Grace’s fund, and $189.74 to Laura Wilson for crab feed expenses and $9.71 to Doug Wayne also for crab feed expenses. Outstanding bills pending include Talbot insurance $500 and in June the annual storage rental fee will be due for $600. Income from Nov escrip was $446.51. The motion was made, seconded and the vote approved the Treasurer’s report as submitted.

OLD BUSINESS

• SITE COUNCIL Judi Cranmer reported that there were no meetings since the last Booster meeting. This position will be open next year. Judi stressed the importance of a Booster representative being on this committee since a lot of current school issues and policies are discussed and many of them may pertain to athletes, teams, and our organization. Meetings are the second Monday of each month at 3:30pm. Julie Kaufman will consider filling this position with Judi Cranmer as her alternate. Jim Grace reported that the school will be starting a LINK program to link an incoming freshman with a Junior or senior student. The upper classman will call the student before registration and guide them through the transition from middle to high school. Upper classmen will receive training on this. A wide cross section of students will be asked to volunteer to be Links for freshmen.
• ESCRIP – Colleen Hughes reported that this Saturday there will be a booth to sign people up for escrip donations at the Safeway Store on Monument from 11am-2pm. Raffle tickets for the field fundraiser will also be sold. Cathy Wayne encouraged any athletes or parents to come out and work a shift. Escrip is a great fundraiser for out organization.

• MEMBERSHIP –Dineen reported that membership increased by one to 165.

• TEAMS IN PROGRESS – Jim Grace reported that he is still in contact with the BVAL about moving to a different league. Spring sports continue to experience many losses. He introduced Mario Balestrieri as the new Athletic Director. The Boosters welcomed him to the meeting. The Spring Sports Award Ceremony will be May 24^th in the Multi-purpose room. Fall sports all have coaches in place to begin the season.

• CRAB FEED 2005 - Stan Wilson met with Mr. Blake and a contract was signed to have the crab feed on February 19, 2005

• UPDATE ON RUNATHON. Cathy Wayne reported that the runathon was a success and raised $5000 for the field. She stressed that with this event it is very important to have coach’s commitments and participation of their teams and families. Cathy obtained donations of drinks and snacks. Raffle tickets were sold for a patio set donated by Safeway on Monument. The first place team was the Football Parents. Coach Ivankovich donated the first place shoe money ($1000) back to the track fundraiser fund. The second place team was Curves. It was suggested by Wayne Garret to move the runathon to another month (not the end of spring when juniors are taking SAT tests and seniors are busy). The suggestion was unanimously approved and an October date was suggested to have the next Runathon fundraiser.
• FIELD IMPROVEMENT/TRACK –Cathy Wayne, Linda Wiley, and Stan Wilson were recognized for their initiative, dedication, and persistent effort in getting a new track approved for the school. Coach Ivankovich is starting a fundraiser with alumni of selling bricks for a walk of fame for the field. Cathy Wayne reported that she has a volunteer who is willing to serve as an alumni liaison and recording secretary for the Boosters next year. She plans to contact YV alumni groups who are having reunions each year. All our grants applications were not accepted with one grant we have yet to hear from “Give Something Back”. . We are still trying to fundraise to try to get artificial turf on the field.

NEW BUSINESS

• LETTER TO DR. MCHENRY – Stan Wilson shared a copy of the letter Cathy Wayne wrote to Dr McHenry regarding the need and request for a football field. There is a school board meeting Tuesday May 11^th at 7:30pm and Cathy Wayne will speak on behalf of the Boosters and the field improvement committee.
• ANNOUNCEMENTS – Cathy Wayne announced that Doug Wayne has updated the Web page. Any team or coach with pictures or announcements about summer programs, etc should contact the Web Master.

- It was also announced that two Saturdays every month Boosters will try to have a table at the Monument Safeway to get escrip sign-ups. This is an effective way to continually earn income for the organization after the initial sign-up. We consistently get several hundred dollars/ month from escrip and it would be great to increase this amount by signing on more new members.

- This week is staff appreciation week. Boosters donated a gift certificate and pastries in honor of staff.

- Open house is tomorrow night at 7pm. Boosters will have a booth to try to sell spirit wear

• NEW BOARD MEMBER POSITIONS- The following board positions have volunteers: Jeannie Moore (Secretary & Alumni Liaison), Kelley Dykeman (Membership with Debbie Vaticano), Rob Kennard (escrip), and Julie Kaufman (tentatively as Site Council Rep). Cathy Wayne volunteered to continue coordinating Spirit Wear. The position of team coordinator is still open.
• Requests for funding-

- Jim Grace requested $1080 as reimbursement for an $1800 bus charge that NCS originally stated they would pay and then only contributed a partial payment. Varsity Basketball used the bus to travel to Eureka for an NCS play off game. Jim is still in discussion with NCS about payment and if any payment is received he will forward the money back to the Boosters. After a short discussion the motion was made, seconded and the vote approved payment of this request.

- Water Polo goals were requested by the Boys and Girls Water Polo Teams. The current goals are chipped and falling apart and are a safety hazard for the players. Pictures were presented that clearly demonstrated the hazard the goals constitute. The motion was made, seconded and the vote approved payment of $1750 to Girls Water Polo and $1750 to Boys Water Polo (cost of new goals, nets and backing is $3500 by invoice).

- A request for $300 by Jim Grace for sub fees and coaches warm-ups was asked to be tabled by Jim till the June meeting.

- A request for $2400 by swimming for parkas was tabled till the June meeting when an invoice from North Ski could be obtained. There is currently an unresolved fiscal issue with the NORCAL vendor that was presented.

ROUND TABLE

Jim Grace announced that he has a contact (Jane Rutledge) who currently does the embroidery work on Varsity jackets at Northgate at a reasonable cost ($230) and she would come to campus after each sports award night to take orders for jackets and embroidery. This would include sewing on blocks, doing the lettering work and the warrior logo.

It was suggested that the Boosters request that YV sports be reported in the Walnut Creek local paper as well as the Concord Transcript.

A suggestion by Gary Graffort for the Boosters to sponsor a coaches’ dinner at Rocco’s. This was felt to be a great suggestion and a tentative date of June 8^th was selected.

Dineen Burdick announced that the preview for people (not this year’s seniors) for the Grad night decorations will be on June 6^th from 4-6pm at the Concord Centre. This will help give families an idea of what Grad Night is and will hopefully encourage future involvement. A donation jar will be available if people would like to make a donation to the YVHS Grad Night

The next Booster meeting is June 2nd at 7pm in the library.
