MINUTES OF THE Ygnacio Valley HS Athletic Boosters, Inc

Meeting OF May 5, 2004

                         a California nonprofit PUBLIC BENEFIT corporation

A general meeting of the YVHS Athletic Boosters, Inc was held on May 5, 2004 at 7:08 p.m. at Concord, California for the purpose of a monthly meeting. The meeting was called to order by President Stan Wilson. Written notice of this meeting was sent via email and announced on the web site to all general members of record on the books of the corporation at such time and with such contents as required by the Bylaws of the corporation.

Eight out of nine board members were present, which constitutes a quorum of the full board.

APPROVAL OF PAST MINUTES

The minutes of the April board meeting were passed out to all members. The motion was made, seconded and the vote approved the March minutes as submitted.

TREASURERÕS REPORT

Linda Wiley passed out the TreasurerÕs Report. Our current balance is $43,000.  Linda transferred $10,000 from the checking to the savings account. Checks made out last month include: $700 Kelly Krause, $3000 to football, $600 to Jim GraceÕs fund, and $189.74 to Laura Wilson for crab feed expenses and $9.71 to Doug Wayne also for crab feed expenses. Outstanding bills pending include Talbot insurance $500 and in June the annual storage rental fee will be due for $600.  Income from Nov escrip was $446.51. The motion was made, seconded and the vote approved the TreasurerÕs report as submitted.

NEW BUSINESS

-        It was also announced that two Saturdays every month Boosters will try to have a table at the Monument Safeway to get escrip sign-ups. This is an effective way to continually earn income for the organization after the initial sign-up. We consistently get several hundred dollars/ month from escrip and it would be great to increase this amount by signing on more new members. 

-        This week is staff appreciation week. Boosters donated a gift certificate and pastries in honor of staff.

-        Open house is tomorrow night at 7pm. Boosters will have a booth to try to sell spirit wear

 

-        Jim Grace requested $1080 as reimbursement for an $1800 bus charge that NCS originally stated they would pay and then only contributed a partial payment. Varsity Basketball used the bus to travel to Eureka for an NCS play off game. Jim is still in discussion with NCS about payment and if any payment is received he will forward the money back to the Boosters. After a short discussion the motion was made, seconded and the vote approved payment of this request.

-        Water Polo goals were requested by the Boys and Girls Water Polo Teams. The current goals are chipped and falling apart and are a safety hazard for the players. Pictures were presented that clearly demonstrated the hazard the goals constitute. The motion was made, seconded and the vote approved payment of $1750 to Girls Water Polo and $1750 to Boys Water Polo (cost of new goals, nets and backing is $3500 by invoice).

-        A request for $300 by Jim Grace for sub fees and coaches warm-ups was asked to be tabled by Jim till the June meeting.

-        A request for $2400 by swimming for parkas was tabled till the June meeting when an invoice from North Ski could be obtained. There is currently an unresolved fiscal issue with the NORCAL vendor that was presented.

 

ROUND TABLE

Jim Grace announced that he has a contact (Jane Rutledge) who currently does the embroidery work on Varsity jackets at Northgate at a reasonable cost ($230) and she would come to campus after each sports award night to take orders for jackets and embroidery. This would include sewing on blocks, doing the lettering work and the warrior logo.

It was suggested that the Boosters request that YV sports be reported in the Walnut Creek local paper as well as the Concord Transcript.

A suggestion by Gary Graffort for the Boosters to sponsor a coachesÕ dinner at RoccoÕs. This was felt to be a great suggestion and a tentative date of June 8th was selected.

Dineen Burdick announced that the preview for people (not this yearÕs seniors) for the Grad night decorations will be on June 6th from 4-6pm at the Concord Centre. This will help give families an idea of what Grad Night is and will hopefully encourage future involvement. A donation jar will be available if people would like to make a donation to the YVHS Grad Night

The next Booster meeting is June 2nd at 7pm in the library.
